About this calculator
An operating reserve is the unrestricted cash a nonprofit keeps on hand to cover expenses if revenue suddenly drops — grants fall through, donations dip, or a major funder is late paying. It's expressed as months of expenses covered (reserve funds ÷ (annual expenses ÷ 12)) and as a reserve ratio (reserve ÷ annual expenses). The Nonprofit Operating Reserves Initiative Workgroup, an industry benchmark widely cited by funders and auditors, recommends a target of 3 to 6 months of operating expenses.
Nonprofit CFOs, executive directors, and board finance committees calculate this ratio for strategic planning and board reporting, and grant-making foundations often check it during due diligence to gauge an organization's financial resilience before awarding funding.
