Caterers and event planners size napkin orders using rules of thumb built around guest count and how the food is served: a seated dinner with utensils typically needs only one or two napkins per guest, while a finger-food buffet, barbecue or cocktail party where guests are constantly wiping their hands can call for three, four or more napkins per person over the course of the event.

This calculator takes your guest count and the style of event you are hosting, applies a napkin-per-guest rate suited to that style, and adds a 10% buffer on top — a standard cushion event planners build in for spills, extra helpings, guests who grab a handful “just in case,” and the inevitable stragglers who show up uninvited.

The result is a straightforward shopping number: how many napkins to buy or print so you are not scrambling for more mid-event, and not left storing several unopened packs after the fact.
